What DataMine reads, and what it finds.

Numbers aren’t just about finance. Every night DataMine reads your sales, stock, receivables and your team’s numbers, checks every number against normal, and puts a dollar amount on what moved. Here is what that looks like.

Where the money is

It has already looked.

One brief, four places money hides

Every morning around 7 AM you get one short email. It looks across the four places money sits and brings you what moved, each with a dollar amount and a next step.

  • → In your team. Which reps and branches are carrying the business, and which only say they are.
  • → With your customers. Which accounts are buying less, and which products are taking over.
  • → On the shelf. Stock on hold too long, aging in the yard, or sitting at the wrong location.
  • → In receivables. Who owes you, for how long, and which balances to chase first.

Only what moved, and nothing if nothing did.

Go through the rep’s open orders. Each one is either a sale to close or a quote to let go.

Checked 8 automines.

Found overnight. Nobody had to go looking.

Every night DataMine reads your files and checks every number against its normal range. Anything that moved shows up here with the figures behind it: a rep’s open orders that have sat for three weeks, three customers paying 19 days slower, $95,373 tied up in dead stock at one yard.

It reads the world your business operates in, too: tariff changes, housing starts, category headlines. Those sit right next to your own numbers.

A dashboard built from your numbers, not a template

DataMine reads your data and picks the handful of KPIs that drive your results. A distributor gets margin by customer and inventory turns. A retailer gets margin by product line and inventory age. You get the dashboard that matches your business.

Key insights

Natural Stone recovered $103K (67%) from May to June, fully offsetting its earlier decline — the primary driver of the overall rebound.

Recommendations

Investigate what drove the June recovery in Natural Stone and apply it to the two categories still below their three-month averages.

When you do ask

Ask it the way you'd ask a person.

Ask it in plain English

When the brief raises a question, or you need an answer before a meeting, type it the way you'd say it out loud. DataMine already knows your data.

  • → "Which rep's open orders are aging?"
  • → "Which accounts are buying less than last quarter?"
  • → "Which slabs have been on hold longest, and for whom?"
  • → "Which contractor accounts have receivables aging past 60 days?"

Every figure is computed from your own data, not written from memory. You can watch the analysis run and trace any number back to the row it came from.

Insights by dataminehq.com

I need to understand what happened at North Yard last month.

Executive summary

North Yard fell 38% month over month, from $270K to $167K. Almost all of the gap is one Natural Stone order placed in July by a single custom builder and not repeated in August. Underneath it, Caesarstone posted its first sales at this location, and the builder segment grew more than sevenfold off a small base.

Methodology

Compared sales by category, material and variant across July and August for North Yard, then checked inventory and transfers for the same items to separate a demand change from a fulfillment gap. Customer segments grouped by customer type.

Findings

1

Sales fell 38% against July.

North Yard billed $167K in August against $270K in July.

Evidence: fact_sales, North Yard, Jul vs Aug

2

One Natural Stone order explains most of it.

Three slab variants billed over $120K in July and under $10K in August. The buyer was a custom builder, and the order was a one-off.

Evidence: Cristallo, Cristallo Vitrum, Taj Mahal — Jul $121,400 / Aug $8,910

3

Caesarstone sold here for the first time.

$11,572 across the Turbine Grey variant, with no July sales in the category at this location.

Evidence: fact_sales, category Caesarstone, first non-zero month

Risks & caveats

Leaning on large one-off projects keeps monthly revenue volatile. Inventory and transfer records for Caesarstone are missing, so fulfillment for that line cannot be confirmed here.

Recommendations

1

Go back to the July builder about repeat work.

One conversation is the difference between a spike and a pipeline.

Impact: high if similar projects repeat Effort: low

The exports you already make.

No data cleanup. No reformatting. No IT project.

Sales, inventory and receivables. QuickBooks exports as CSV, your ERP exports to Excel, and DataMine reads both as they are. Upload them, or sync a OneDrive or Google Drive folder.
